We recently introduced our Customer and Property Care Portal allowing tenants, and leaseholders to register maintenance on line, along with the ability to upload pictures of the problem, with this new system it is allows some great reporting features that we can see and monitor how we perform as a company with both planned and reactive maintenance. We have had so much positive feedback from our tenants on this new improved communication.
All contractors are able to log in and monitor their outstanding works, in fact we have received a positive approach from the majority of our contractors, it is so easy for them to use the only additional thing a contractor needs to do compared to our previous system is to enter the agreed date and time of the appointment that has been made with the tenant, our system will then automatically remind tenants of these appointments, it also clears up any confusion over access arrangements as if the tenant has agreed access they stipulate this when reporting the initial problem. Once the job has been completed we are now requesting ALL contractors take a picture of the works via our portal which landlords can then see works have been completed and this avoids and confusion on an invoice as there are pictures of before and after.
