How to Apply for a Property

How do you apply – and what is the procedure for renting a property through Oakfield?
At Oakfield we aim to be as professional and efficient as possible. To enable your application for a property to be processed as quickly as possible, please follow the guidelines given below. We have also listed what happens, and when, so you are fully aware of our procedure at Oakfield.

Day One:
  1. After viewing a property deciding that you wish to take it, you need to ensure that you meet our requirements. Please see Tenants requirements [ click here ]
  2. Once you are confident that you meet our requirements, and you are happy to proceed, you will need to download and complete our (PDF) Proceeding Application Form [ click here ]  NB. ALL parts must be completed in full. You will also be asked for a provisional moving-in date.
  3. You will need to bring with you photo identification, which can either be a driving licence or a passport.
  4. You will need to pay a £100.00 holding fee and a £50.00 booking-in fee, both of these fees are non-refundable. The £100.00 is part of your deposit and the £50.00 is a booking-in fee, payable to Oakfield to cover administrative costs. The total amount needs to be paid either by cash, debit card or credit card.
  5. You will then be given a receipt for the funds paid and an information sheet confirming what you need to do next, i.e. contact utility suppliers, council tax etc.
  6. At this point we will confirm with the Landlord that we have taken a holding fee on the property and remove the property from our 'available list' and it will be held for 14 days. If you are not ready to move in at this point you will be required to pay the remainder of the deposit. We can only hold a property for a maximum of 1 month.
  7. We will carry out a credit search and send out letters to your referees. Please try to supply fax or email contacts for these as this will speed up the process.

Day Two:
  1. Ideally we will have already received the following items from our Landlord, however, we need to ensure that we have been supplied with the following if applicable: Spare Keys, Landlord's Gas Safety Certificate, Electrical Safety Certificate, Record of Condition.
  2. We should have received the relevant information from your credit search, and if there are any problems we will contact you immediately to keep you updated.

Day Three:
  1. We will chase your references if we have not received them. If we have problems in obtaining these, we will contact you to see if you can speed things up.
  2. If all references have been received, and we are also in receipt of all the above items we will liaise with you and the landlord to confirm your moving-in date. At this point we will also confirm your outstanding balance and remind you about your contents insurance. This will also be put in writing to you.

Day Four:
  1. We will now produce your Tenancy Agreements and a Standing Order form for you to sign on the day you move in.

Moving Day:
  1. You will need to come to our offices to pay the remainder of your fee, and again, this needs to be in the form of cleared funds, i.e. cash, credit or debit card. You will then need to supply a copy of your contents insurance and we then proceed to signing the Tenancy Agreements.
  2. You will be given your copy of the tenancy agreement and your keys.
  3. Remember that you will need to meet our Property Inspector at the property to be shown meters, stop-cocks etc., and you may also be asked to confirm and sign a Record of Condition Form if applicable.

Please Note:
Most applications will take between 7 and 14 days from the day you complete our form. However, it has been known to move people into a property within several hours. It is our aim to have your file ready and signed off within 5 days, but this is wholly dependent on your references being forwarded promptly to us and assuming that we have also received all the relevant safety certificates from the Landlord.
